Special Information for Supervisors
Timely receipt of your employee's first pay check is dependent on the timely return of the employee's hiring/personnel forms to the Regional Office. Please complete the employee's hiring forms on or before the employee's first day of work and return them immediately to the Regional Office.
As supervisors of University employees, you have the right to:
- schedule, assign, and reassign work
- determine the need for overtime and to assign overtime to employees
- require vacation leave requests and compensatory time off requests in advance and schedule/approve vacation and CTO time for your employees according to operational needs and departmental procedures
- require advance notification of sick leave use for scheduled medical appointments according to departmental procedures
As supervisors of University employees and as Principal Investigators responsible for managing the funds from which the employees are paid, you have the responsibility to:
- review the hours reported by your employees to ensure the hours reported are correct - your signature on the Staff Monthly Time Reporting and Leave Record indicates your approval to disburse the specific funds to the employee
- ensure that the Staff Monthly Time Reporting and Leave Records are received in the Regional Office according to the Schedule for Mailing Time Records
- ensure that the hours reported on grant and contract funds are an accurate representation of the hours worked on those projects to comply with the sponsoring agency's terms and conditions
- review the Distribution of Payroll Expense report monthly to ensure that the hours recorded on University records match the hours reported on the Staff Monthly Time Reporting and Leave Record
